Overall purpose of the job
Reporting to the Assistant Director, Human Resource & Administration the incumbent will assist in implementation of records management policies, procedures, processes and standards.
Job specifications (duties)
The duties and responsibilities at this level entail: –
Ensuring that letters are appropriately filed and marked to action officers;
Controlling and opening of files and updating file index;
Ensuring security of information/files in the registry;
Up-dating and maintaining up-to-date file movement records;
Ascertaining the general cleanliness of the registry; and
Certifying that pending correspondence and bring-ups are checked and appropriate action taken;
Renewing file covers;
Ensuring proper handling of documents, pending correspondence and bring-ups; and
Receiving and dispatching letters and maintaining related registers.
Persons’ specifications
For appointment to this grade, an officer must have: –
Diploma in Records Management/ Information Management/ Information Science/ or equivalent from a recognized Institution;
Proficiency in Computer Applications; and
Meet requirements of Chapter 6 of the Constitution.
